Asset Metadata
An XML AssetMetadataRequest
allows a vendor to receive metadata describing new assets, updated assets, or assets deleted from the system.
Because of the large number of assets in the DAM System, The AssetMetadataRequest
has a date-range limit of three months. New vendors who require an initial load of metadata for all the assets in the DAM System should not use the AssetMetadataRequest
. Instead, new vendors should contact their Digital Retailer Program representative to obtain the first load of metadata for all the assets in the DAM System.
The AssetMetadataRequest
has an optional attribute, called requestType
, to denote the type of asset metadata to be returned in the response. Currently, the DAM System supports two types of asset metadata: Assets and Packages.
Specifying an "A" in the requestType
attribute tells the DAM system to return only asset metadata in the response, whereas a "P" tells the system to return only package metadata. By specifying an "X", or by leaving the requestType
attribute out altogether, the system will return all available types of metadata (currently assets and packages) in the response.
To request DAM version 5.0 metadata, the DAMVersion
element must be provided as follows. Please note that the value of this element is slightly different than in previous versions of DAM.

The request may also contain a date range or asset id list, but never both at the same time. The date range is controlled by the StartDate
and StopDate
elements. The dates in these elements should be in yyyy/m/d format. If StartDate
is missing from the request, the date of your last metadata request is used. If the StopDate
is missing, the current system date is used. When requesting metadata for individual assets, the AssetIdList
element consists of one or more AssetId
elements.
The DAM System reply to an AssetMetadataRequest
will contain all metadata describing the assets that have been added, updated, or deleted between the two dates. In addition, several look-up lists are provided. The values in these look-up lists are often referenced by their IDs within each Asset record.

The Classification
element provides a list of all product categorizations present in the DAM system, each with a unique identifier called "catId". This represents the "catalog" of product classifications and can be used to set up browsing hierarchies in your system. For example, this classification can help users browse for digital assets based on categories like "Pop Music" or "Rock Music".

element is specific to choral product and provides a finer level of product classification for each asset. Each series name is uniquely identified by a seriesId

The GroupTypes
element represents the different type of product associations in the system. There are currently three group types: "Hardgood", "Voicing" and "Digital". Each group type is uniquely identified by a groupId
attribute. Group types help define the relationships between items, for example, item "A" may have a "hardgood" relationship to item "B".
Item "A" may also have a "voicing" relationship to items "C", "D", and "E". Voicing relationships are typically defined between similar choral products where the only difference is the voicing of the arrangement (SATB, SSA, TTB, etc.)

element defines the catalog of available instruments, each uniquely identified by an instrumentId
attribute. This should not be confused with the InstrumentationParts
element, which takes into consideration how the instrument is used within the context of a performance group.

AssetMetadata Element
Each AssetMetadata
element in the AssetMetadataResponse
describes a single stand-alone asset. These assets may be sold individually, or in collections as defined by the PackageMetadata
elements (described below). Each AssetMetadata
element contains a MetadataType
element with a value of "new" or "update" to distinguish new assets from updated ones, or a value of "delete" to indicate that the asset is no longer available for digital distribution. If the value of MetadataType
element is "delete", you must remove the asset from sale on your site. Because it may be necessary to keep data about the deleted asset in your system to support prior customer purchases, simply "marking" the asset as deleted so it can't be sold, is as good as removing it from your system.
The AssetId
for each asset is returned in the reply and uniquely identifies each digital asset in the DAM System. You must use the AssetId
to identify a digital asset in any transaction requests to the DAM System.
The title of the digital asset is specified by the Title
element in the AssetMetadata
element for each asset in the reply.
Note: The Artist
and Writer
elements have been deprecated and replaced with the Contributor
structure. Artist
and Writer
elements are, however, still provided in AssetMetadataResponses
for backwards compatibility.
The AssetMetadataResponse
contains an unlimited number of artists, writers, and/or contributors, as well as a category for each asset.
Each Artist
element will contain sub-elements:
Artist_Name
provides artist name in "first last" format. For example: Elton John
Artist_Name_Rev
provides the artist name in reverse format. For example John, Elton
Every asset has a designated "primary" artist, specified by an attribute "primary" that will be set to "true" in the Artist
element. If the artist is not the primary artist for the asset, the "primary" attribute will be set to "false". Only one primary artist is allowed per asset.
The Writer
element is similar to the Artist
element with the same kinds of sub-elements: Writer_Name
and Writer_Name_Rev
along with the "primary" attribute to specify the primary writer. Again, like the Artist
element, only one primary writer is allowed per asset.
As mentioned above, the Contributor
element has replaced the Artist
and Writer
elements. Doing so allows much richer information about the roles people (or groups) play when associated with an asset. The Contributor
information follows the same general form and rules as the artist and writer elements; however, the role the person (or group) plays is denoted by a "roleId" attribute. For example:

Moreover, each asset can belong to multiple categories. At least one Category
element will be present for each asset with a cat_id
attribute used to specify the category. This cat_id
value can be looked up against the CategoryName
element's cat_id
value (from the Classification
element) to obtain the category name to which the asset belongs.
Note: The Hardgood
element has been deprecated and replaced with the RelatedGoods
structure. The Hardgood
element is, however, still provided in AssetMetadataResponses
for backwards compatibility.

The RelatedGood
element tells the type of good (hardgood, digital, or virtual good), along with how the asset is related, by hardgood or voicing, for example. If goodType="H"
(hardgood), the value of the RelatedGood
element represents the Hal Leonard product SKU. If goodType="D"
(digital) or goodType="V"
(virtual good), the value of the element is the DAM asset ID.
The reply also contains sellable country restriction information. If the World
element is "true", sale is permitted in all countries. Otherwise, the reply will contain a complete list of ISO country codes in which the asset may be sold.
Other elements of the AssetMetadataResponse
include the asset's Voicing
(e.g. SATB), a PerformanceTime
(in seconds), a difficulty level range (primarily for instrumental products), and a Usergen
element with information pertinent to "usergen" assets only. Not all assets will have this information.
PackageMetadata Element
Each PackageMetadata
element in the AssetMetadataResponse
describes the combinations of assets that may be sold collectively as a single asset, for example as a folio or an ensemble. The PackageMetadata
element contains many of the same characteristics as the AssetMetadata
element. Only the differences will be described here.
The AssetType
element describes the type of package. Currently, the DAM System only supports "FOLIO" and "ENSEMBLE" type packages.
The Description
element provides a short textual description of the package, for use on a product information page.
A BeginDate
element and an optional EndDate
element denote the date range during which the package asset may be sold. If no EndDate
element is provided, it is assumed to be an open ended EndDate
. Please note that when you issue a TransactionOpenRequest
for a package asset, the DAM system will validate that the current date is within the sellable date range for the package asset. If it is not, an error will be returned to you.
The last component of the PackageMetadata
is the PackageAsset
element. The PackageAsset
element provides the identifiers (asset IDs) of the components that make up the package. A quantity
attribute indicates the number of assets that make up the package and can be used to validate that the right number of assets were returned in the response. Also, new with DAM version 5.0 is the partable
attribute. The partable
attribute has a Y/N value and indicates whether the parts within the package may be sold separately. A value of "Y" means that the part assets may be sold individually.

Each AssetId
element within the PackageAsset
element contains an optional attribute called partCount
. The partCount
attribute indicates the number of copies that are allowed to be printed when the asset is sold as part of the entire package.
For example, if a Choral Instrumental Pack is sold in its entirety and comes with four (4) violin parts, the part count for the violin asset would have a value of four (4). This is the number of prints that should be allow when buying the "part" asset as part of the entire package. Conversely, when the violin part is sold as a stand-alone asset, for example, because an extra part is needed, the allowed prints should be one. If the partCount
attribute is not provided, a count of one (1) should be assumed.

The unique identifier associated with the instrument part name.
partSequence
Denotes the display-order of the parts. Sorting on this value will allow you to display the package's instrumentation in proper "score-order"
score
A value of "Y" indicates that the asset represents the conductor's score.
